A lead lands after the office has closed. Answered in under a minute, qualified, and offered three real slots from the negotiator's diary.

07:52, Flat 3

A tenant sends a photo of a boiler fault. Triaged, the right contractor asked for a slot, the landlord updated, all logged.

23:10, Booking.com

A German guest asks about late check-in and parking. Answered in German, from your house rules, in under a minute.

Mid-service, Saturday

The phone rings with a full pass. Answered on the second ring, the table booked, the allergy noted, a text sent.

01Who it's for

Two markets, one system underneath.

UK estate and letting agents, where the portal lead that waits until morning is the instruction you lost. And hospitality in Madeira, where a guest writes at midnight in a language nobody on shift speaks. The workflow is the same in both: answer, qualify, book, escalate, log. Pick yours.

Every portal lead answered before the next agent's.

Rightmove and Zoopla leads land by email at all hours. Most agents reply the next morning; by then the applicant has booked three other viewings.

03One workflow in depth

What a finished workflow actually looks like, end to end.

Take the hardest one, the phone. Answered in two seconds, availability checked in your system, booking written back, confirmation texted, summary to you. Every other workflow we build has the same shape: read your data, act, log it, escalate what needs a person. Press play.

Talk to it yourself, right now

This is the same setup we build for clients, answering for us. Ask it what we charge, whether it would suit your business, or something it cannot possibly know and watch it refuse to guess. It runs in your browser, so it needs your microphone.

Your browser will ask for microphone permission. Nothing is recorded on our side. It will tell you it is an AI if you ask, because that is how we build them.

  1. Your number stays yoursForward on no-answer, out of hours, or everything — your call. Nothing to install. You keep your existing number with your existing provider. We add a forwarding rule: on no answer after 20 seconds, out of hours, or always. Turn it off and calls ring your phone exactly as before.
  2. It reads your real availabilityTables, rooms, viewing slots: from your booking system, PMS, calendar or a sheet you control. Before it offers a slot it checks the live source: your booking system, PMS, calendar or a sheet you control. It never offers a time it can't see.
  3. It confirms in writingText confirmation to the caller, summary to you, booking in the system. Every call logged and transcribed. The caller gets a text with the booking details within seconds. You get a summary and the full transcript. The booking itself is written into your system or diary.
  4. It knows when to stopComplaints, anything off-script, or a caller who asks for a person: transferred or taken as a message with a callback promised.Complaints, anything off-script, or a caller who asks for a person: the call is transferred to your number if you're available, otherwise a message is taken and a callback promised. You get the transcript either way.

Built on Twilio and a voice model, orchestrated by n8n. Calls billed at cost (roughly 10–15p per minute). Priced to the job.

02What we build

Six workflows, priced one at a time. Most businesses start with the one that hurts most.

Each is a piece of back-office work that happens the same way every time. We build it into the systems you already run, test it on your real messages, and hand it over. The phone is the sixth of these, not the whole product.

04Not sure where to start?

Three questions. We'll tell you which workflow we'd build first, and why.

    05How it stays honest

Every decision logged. Anything unusual comes to you with a draft.

It only answers on its own when the fact is in your data and it's sure. Offers, complaints, refunds, anything off-script: you get a WhatsApp with a suggested reply. You approve, edit or ignore.

auto-sent · facts from your data, confidence ≥ 0.9flagged to you with a draftscheduled
    1. Facts only from your dataPrices, dates, availability and policies come from your sheet, calendar or system. If it isn't there, it asks you. It never guesses. The AI is instructed to answer only from the data it was given for that message: your price list, your calendar, your rules. When a question is outside that, it says so and passes it to you with a draft rather than improvising.
    2. You stay in the loopAnything under 90% confidence, anything about money, anything negative: flagged to you with a draft. For the first two weeks, everything is.Anything about money, anything negative, and anything the model is under 90% sure about is sent to you on WhatsApp with a suggested reply. You tap approve, edit or ignore. During the first two weeks, that's every message.
    3. No passwords, everYou authorise Google, Microsoft or Meta on their own login screens. Revoke us in one click.Connections use OAuth: you click Allow on the provider's own page and we receive a scoped token. We never see, store or ask for a password.
    4. Your data stays in your accountsMessages and calls live in your own WhatsApp, inbox and phone system. Never copied elsewhere, never used to train anything.Messages live in your WhatsApp and inbox, calls in your phone system, bookings in your diary. n8n runs on your own account and Claude is called per message with only what it needs. Nothing is copied into a database of ours.
    5. Yours to keepRuns on your accounts, not ours. Stop the Run plan and nothing switches off.The workflows are built inside your own n8n and your own accounts. If you stop the Run plan you lose our monitoring and updates. Everything keeps running exactly as it did.

    06Evidence

We publish our sources. Most of this industry does not.

Before building any of this we went through 41 competitors and graded every statistic in the category. A good deal of what gets quoted at you turns out to trace back to one vendor press release from 2014.

    1. 29% of UK businesses now use AI, but the average adopter uses only 1.6 toolsOffice for National Statistics, 2026. Adoption is broad and shallow. From the ONS release "Artificial intelligence in UK businesses: 2023 to 2026". Adoption rose eight percentage points in a year to 29%, reaching 49% among firms with 250+ staff, but the average number of AI technologies per adopting firm moved only from 1.4 to 1.6. Nearly everyone has tried a chatbot. Almost nobody has a workflow that runs without them. That gap is the whole reason this business exists.
    2. UK estate agents take about four working hours to answer a portal enquiryHomeflow mystery shop, 2023. Only around 40% of sales enquiries were answered within the hour. The slowest agent took the equivalent of five working days. Rental enquiries fared better, at roughly 70% inside an hour. This is research by a company that sells to agents, so treat it as directional rather than definitive, but the method was a real mystery shop and it is the most on-target figure available for this market.
    3. 14% of UK diners have failed to turn up for a bookingCGA and Zonal, 2024, from a nationally representative survey of 5,000 consumers.Up from 12% the previous year. Among 18 to 34 year olds it reaches 28%, against 1% of over-55s. This is the number behind the no-show reminder workflow, and unlike most hospitality statistics it comes from a genuine research house rather than a software vendor.
    4. Responding to reviews makes a hotel 21% more likely to receive an enquiryCornell Hospitality Report, 2016. Average ratings rose from 3.81 to 4.04.Independent academic research on a large TripAdvisor dataset, rising to 24% above a 50% response rate, with diminishing returns past about 40%. Separate Cornell work found that one extra rating point lets a hotel charge 11.2% more at the same occupancy.
    5. And what we refuse to quote at youThe famous "£1,200 per missed call" is a BT press release from 2014. "85% of callers never ring back" has no traceable source at all. Both are repeated constantly across this industry, including by companies charging a good deal more than we do. We graded twenty of the most-quoted statistics in the category and published which ones survive scrutiny. If a supplier quotes you a number, ask them where it came from.
